By integrating into LDAP, the messaging infrastructure can be implemented in such a way as to reflect the existing network user accounts and can allow for time based triggers in order to ensure that items are logged and based up the command chain as necessary.

Online Report Submission

Our online SMS form encourages employees to submit any accident, incident, or concern that affects company safety. Our detailed form asks detailed relevant questions that managers can use to for investigations. Integrated email notifies managers when a new report has been submitted and notifies employees when an investigation has been completed. Each submission is stored in our online database and is available to all employees of the company.

Safety Database

The integrated database is a secure repository of all submissions that have been reported. Any employee can view the submissions and provide relevant feedback using our comments box. Although the main details of each submission are made readily available to employees, the specific details of the submitter are kept confidential from everybody but managers. We have found with our experience, that this pseudo-anonymity encourages employees to participate in the safety process without fear of ridicule from other employees.

Investigation Process

Each SMS submission must have an investigation report completed by managers before it can be closed. Our investigation process consists of interview responses from involved parties, risk matrices, and pre-mitigation and post-mitigation cost analysis. The investigation report is readily available at any time to all managers, but is kept confidential from employees. Upon completion of the investigation, employees will be notified of the conclusion of the investigation and of the steps being taken to address the reported issue.

Deadline Tracking

To maintain a safe work environment, it is vital that safety issues be addressed within specific time frames. As such, our system has an integrated calendar which will notify managers when actions must be taken for each submission. Email messages will be sent to managers at pre-determined time intervals reminding them that actions must be taken. When deadlines have passed, the email reminder will be sent on a daily basis and the database will highlight the overdue report until such time as the report has been completed.

Memos & Online Library

Our online memo module allows managers to create and send memos to specific user groups. Email integration notifies users that new memos are available and directs them to the website. Our tool tracks when each user has read each memo and notifies managers about employees who neglect reading them.

The library provides a secure means of distributing company manuals and forms to employees. Managers can add any file they desire to this repository and employees can then login to our site to download the files as needed. online_report_submission
